Way Forward OT Training Online Webinar Purchase Policy

Effective date: October 2025

This policy applies to individual purchases of live online webinars, workshops and on-demand recordings from WayForward OT Training. Separately agreed terms apply to organisational training bookings.

1. Registration and payment

  • Payment is required in full to confirm your registration. Prices and any applicable GST will be displayed before payment.

  • Please check the session description, date, time zone, inclusions and access period before purchasing. You are responsible for providing an accurate email address.

  • Each registration is for one participant unless the purchase expressly includes group access.

2. Australian Consumer Law

Our services come with guarantees under Australian Consumer Law that cannot be excluded.

Nothing in this policy excludes, restricts or modifies your statutory rights, including any entitlement to a refund or other remedy where a service does not meet an applicable consumer guarantee.

The cancellation and change-of-mind provisions below operate subject to these rights.

3. Participant cancellations - live sessions

  • For a change-of-mind cancellation, a full refund is available if we receive your written request at least seven calendar days before the advertised session start time.

  • For requests received less than seven calendar days before the session, a change-of-mind refund is generally unavailable. We will consider requests involving illness, emergencies or other exceptional circumstances individually.

  • You may nominate a substitute participant at no additional charge by emailing us before the session begins. Any advertised eligibility requirements still apply.

  • If you do not attend, a change-of-mind refund is generally unavailable. Where a recording is included in your purchase, you will receive access for the advertised period.

Send cancellation and substitution requests to hello@wayforwardot.com.

4. Organiser cancellations and changes

  • If we cancel a session, you will receive a full refund of the registration fee. You may choose a transfer or credit instead, but you are not required to accept one.

  • If we reschedule a session or materially change its advertised content or format, we will notify you as soon as practicable. You may accept the change or request a full refund.

  • Minor changes to presenters or session structure may occur, provided the session continues to deliver its advertised learning outcomes. If a change materially affects what you purchased, please contact us to discuss a remedy.

  • Approved refunds will be initiated within 10 business days, generally through the original payment method. Your financial institution or payment platform may take additional time to process the refund.

5. On-demand purchases

  • For on-demand recordings, the product description will specify the included resources and access period.

  • Once access has been supplied, change-of-mind refunds are generally unavailable. This does not affect your rights where the product is faulty, inaccessible because of an issue with our service, or materially different from its description.

6. Session access and resources

  • You will receive a registration confirmation and access instructions by email. Please check your spam folder and contact us if these have not arrived by the business day before the session.

  • Recordings, resources, assessments and completion certificates are included only where stated in the session description. Any attendance or assessment requirements for a certificate will be disclosed before purchase.

  • Unless another timeframe is advertised, included downloadable resources will be supplied no later than two business days after the session. Recording availability and access duration will be stated in the session description.

7. Technology and service interruptions

  • You are responsible for having a compatible device, suitable internet connection and access to the advertised webinar platform. We will provide reasonable assistance with access difficulties.

  • If an issue with our delivery prevents or materially disrupts the session, we will provide an appropriate remedy. Depending on the circumstances, this may include replacement access, a rescheduled session, or a partial or full refund.

  • Problems arising solely from your device, internet connection or failure to follow the access instructions do not ordinarily qualify for a change-of-mind refund. Your statutory rights remain unaffected.

8. Respectful participation and confidentiality

  • Participants must communicate respectfully and avoid harassment, discriminatory behaviour or disruption.

  • Do not disclose identifiable client information or confidential information about colleagues, employers or other people. Case discussions must be appropriately de-identified.

  • Participants must not record, photograph, screenshot or distribute another participant’s contributions without their express permission.

  • We may mute or remove a participant where reasonably necessary to address serious or repeated misconduct, protect privacy or maintain a safe learning environment. Where practicable, we will explain the concern and provide an opportunity to stop the behaviour. Any refund request following removal will be assessed fairly in light of the circumstances and applicable law.

  • Although we set confidentiality expectations, we cannot guarantee that every participant will comply. Please share information accordingly.

9. Session recordings

  • The session description will state whether a session will be recorded, who will receive access and whether the recording will also be offered as an on-demand product.

  • We will remind participants before recording begins. Recordings may capture your name, voice, video, questions or chat contributions, depending on the platform and session format.

  • You may keep your camera and microphone off and use the designated private question channel if you do not wish your contribution to appear in the recording. Please contact us before the session if you need another participation arrangement.

  • We will seek express permission before including identifiable participant contributions in a recording offered beyond the registered audience. We will not use identifiable participant contributions in promotional material without separate express consent.

  • Access to an included recording is for the authorised purchaser’s learning use and is subject to the advertised access period.

10. Intellectual property and permitted use

  • Unless otherwise stated, webinar recordings and resources are owned by WayForward OT Training or used with the relevant owner’s permission.

  • You may view recordings and use resources for your own professional learning. Templates may be used in your practice to the extent permitted by their accompanying licence.

  • You must not share access credentials, redistribute recordings or resources, resell materials, or reproduce substantial parts for training others without written permission or another lawful basis.

11. Educational scope

  • Our sessions provide professional education and general information. They do not replace individual clinical judgement, supervision, legal advice or advice tailored to a particular client or organisation.

  • Participants remain responsible for considering the relevance of the material to their role, competence and practice setting, and for checking current requirements before applying it.

  • Completion does not confer a professional qualification, accreditation or endorsement unless expressly stated.

12. Privacy and communications

  • We handle personal information in accordance with our Privacy Policy, available on our website.

  • Registration information is used to administer purchases, deliver training, provide access and resources, issue applicable certificates, and respond to enquiries.

  • Relevant information may be handled by service providers supporting these activities, including registration, payment, email and webinar platforms. Our Privacy Policy explains these arrangements, including relevant overseas handling, and how to request access or correction or raise a privacy concern.

  • Purchasing a webinar subscribes you to the Way Forward OT newsletter. You may unsubscribe at any time.

13. Questions and complaints

  • For questions, access problems, cancellation requests or complaints, contact hello@wayforwardot.com.

  • Please include your name, the session or product purchased, and a brief description of the issue. We will acknowledge complaints within five business days and explain the next steps.

This policy is made available before purchase. The version provided at the time of purchase applies to that booking; later changes will not retrospectively reduce your rights.
